Good day Team,

I am back another day another dollar and another email to my Fantastic team

Today I just want to touch base on quotes and how we quote – now we need to remember Cape Town and Johannesburg clients are different but like I always say and stand by it , you pay for what you get. If they see the value In it they don’t mind sharing there money with you. Show the value. Make them excited.

How do I quote the upfront fee?

Now this all comes from gathering information from the demo, from the demo you would of picked up the following

  • Who was in the demo? was it just the owner and he/she is making the decision on their own? By this you will know that you will land up with some users who don’t want to use a new system / or use a system at all.
  • Did the users interact in the demo?
  • How was their body language – crossed arms ( difficult and not interested in a new system )
  • What kind of questions did they ask? By this, you will know how the training will be and the aftermath of the training.
  • If they have 2 vat numbers but the same users always add a R2500.00 database creation fee in there.
  • If it’s a away client – Durban , Kimberly and you must travel there always go and look at traveling tickets and accommodation and build a buffer in.

DMS LITE

please remember DMS Lite clients are mainly your clients that do not have dealer codes with the bank ( They can’t get finance with the bank ). These clients are usually your wholesalers, wholesalers that are now retailing, start-up dealerships, and DMS Lite only comes with the following

  • Stock
  • Recon
  • OTPS
  • Invoicing
  • Reports excluding 2nd gross reports

You can bolt on mobile and CRM, and feeds.

I always use a base, and I always use R4500 as a starting point. if it’s one one-man show, I go in at the R4500.00.

If it’s a DMS Lite customer with an admin staff member, I would go in at a R5,500.00 up-front fee.

If the client is far away and traveling needs to be taken into account, then the upfront fee with travel and accommodation will be quoted. I just go onto Google and look at flight prices and Air B&B and get an idea of what accommodation will be.

The monthly fee would be your R1650 + R180 (back-ups) + R345 ( hosting fee ) = R2175.00, including VAT a month. ( this is excluding the new VAT increase )

If your client is taking mobile and or CRM please add the charge on the quote

DMS Pro

This is the product we sell the most of, this is all our clients who have bank codes and vat numbers.

DMS Pro comes with the following features

  • Stock
  • Recon
  • OTPS
  • Invoicing
  • Supplementary income
  • Sundry invoices
  • Reports + all the 2nd gross reports

once again, I use a base here, and my base is generally R6500.00, but I usually sell VMG DMS Pro for R8500.00. This is for a dealership with 3 users ( admin users ) and sales staff generally 3 to 5 sales staff.

You can bolt on feed and CRM, and mobile.

If there is travel and accommodation involved, your upfront fee will increase.

The monthly fee R2250.00 + R180 + R345 = R2775.00 including vat a month

If your client is taking mobile and or CRM please add the charge on the quote.

DMS FULL Accounting

This product is getting sold more and more which is exciting.

This product is all of DMS Pro features plus your accounting features ( I’ll send an email on feature and benefits )

You can bolt VMG accounting onto a DMS lite client – this has been done before.

I always take my DMS pro/ DMS Lite pricing R8500.00 and I add R6500.00 to the quote for the accounting training ( accounting training also depends on how many accountants we have to train – pace car sales had a team so I went in at R8500.00 )

Remember the accounting training is done remotely by bookkeeping which is Lynne , Michelle and Nicole.

If the client is adamant that accounting training to take place on site , one of the team can fly up or I can do it on site ( I do not mind helping at all )

You can bolt on feed and CRM, and mobile.

If there is travel and accommodation involved, your upfront fee will increase.

As of 01 Jan 2025, the monthly fee is made up of R3650 + R180 + R345 = R4175.00 which includes VAT at 15%.

If your client is taking mobile and or CRM please add the charge on the quote.

Quotes

Take a look at the quote template below and then I will show you what needs to be changed after that.

Add the company name , sometimes they EB Motors and sometimes its P1 Auto

The package should also be stipulated – LITE , Pro , Full accounting.

Date – add the date of the quote

Quote number – I always go in as KA20250411 ( my intials , year , month , date )

Dear – Owners name

And then the dealerships name again.

The amounts you will see we always have spaces so it looks readable.

Unsure of VAT , use google vat calculator – works like a charm – https://www.calculatevat.co.za

Make sure your totals add up in each column.

In your description If you are doing remote training or it includes travel and accommodation state that.

Make sure your quotes are on 2 pages and the spacing looks neat and professional.

Always use the same template please and make sure your name is at the bottom of each quote

If you need to add mobile or crm or any add on products , add the line on the monthly block

And you will see it add a block underneath the monthly amount where you can add your product and description and amounts.

If it is a referal discount of 10% for a 2nd database remember its only on the core product and does NOT include back ups and hosting fee

You will see I also added a extra bullet point that stated if one of the databases do not take VMG or cancel VMG the discount falls away.

I also added in the description that it is on the core product

Always Always PDF your quotes ( please don’t fiddle )

And save your quote in a manner that makes sense
